Bolton Community Tax Clinic is a free community initiative run by Chris Movement CIC, a company limited by guarantee registered in England (No. 12838078), 235 Tonge Moor Road, Bolton BL2 2HR. This policy explains what personal information we collect when you use this website or ask us for help, why we collect it, and your rights. We are the data controller for the information described here.
If you have any questions about this policy or your information, email us at [email protected].
Information we collect
- Details you give us through our forms or by email – your name, phone number, email address, preferred appointment day, the topic you need help with and anything you choose to tell us in your message.
- Information you share during an appointment – for example HMRC letters, your UTR, income and expense details, or information about your household finances, where this is needed to help you.
- Technical information – our website host and security provider (Cloudflare) automatically process information such as your IP address, browser type and the pages you visit, to keep the site secure and working.
Please do not send bank card details, passwords or your full National Insurance number through the website form.
How we use your information
- To respond to your enquiry and arrange your appointment.
- To give you tax, HMRC and money guidance during and after your session.
- To keep basic records of the support we provide, so we can follow up and improve the service.
- To keep our website secure and prevent misuse.
Our lawful basis
We use your information because you have asked us to help you (taking steps at your request), because we have a legitimate interest in running a safe and effective community service, and, where we rely on it, your consent – which you can withdraw at any time. If you share sensitive information (for example about health or disability that affects your finances), we only use it with your explicit consent and only to support you.
Who we share it with
We do not sell your information or use it for marketing. We only share it:
- with volunteer advisers and partner accountants who help deliver the clinic, under a duty of confidentiality;
- with HMRC or another organisation only when you have asked us to act or communicate on your behalf;
- with service providers who host our website and email, under appropriate data protection terms;
- where the law requires us to.
How long we keep it
We keep enquiry and appointment records only for as long as we need them to support you and to keep accurate records of the service, after which they are securely deleted.
Cookies and third-party content
This website uses only the cookies needed for it to work and stay secure. Our “Where to find us” map is provided by Google Maps and our fonts are loaded from Google Fonts; Google may set its own cookies or receive your IP address when these load. See Google’s privacy policy for details.
Your rights
Under UK data protection law you have the right to ask for a copy of your information, to have it corrected or deleted, to restrict or object to how we use it, and to withdraw consent. To make a request, email [email protected]. We will respond within one month.
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
